Summary

We are seeking to appoint a Lettings and Events Coordinator to join our team, managing the day to day operations of the School’s commercial enterprise activity.

Detail

The Lettings & Events Coordinator postholder will manage the day-to-day operation of the school’s commercial enterprise through commercial activities from facilities hire. External lettings and events predominately take place at the end of the school day and during school holidays.

This postholder will work closely with and report to the Deputy Director of Operations as well as the school’s marketing department to develop the school into an established events venue, creating new opportunities to diversify income from facilities use.

Key Responsibilities

•Manage the day-to-day running of the school’s commercial enterprise (external lettings & events) ensuring all appropriate paperwork (including safeguarding and insurance) is held for all organisations renting facilities and that booking forms and contracts are in place.

•Act as the main point of contact for all external lettings and holiday camps ensuring all enquiries are dealt with in a timely manner.

•Conduct customer ‘site visits’ as and when necessary.

•Help build and maintain all existing external letting and holiday camp relationships.

•Work closely with all school departments (stakeholders) to ensure facilities as well as specific requirements are in place for external lettings and do not conflict with other activities taking place within the school.

•Work closely with the Estates Team to ensure that commercial activities do not conflict with the regular maintenance programme and that facilities are in place for the lettings.

•Work with the Deputy Director of Operations as well as the marketing department to help promote St Helen and St Katharine’s facilities and holiday clubs with a view to developing a comprehensive commercial marketing strategy.

•Work with the accounts department to ensure invoices for external bookings are issued in a timely fashion and outstanding debtors are managed effectively

•Work closely with the Deputy Director of Operations to help identify new opportunities with a view to expand and develop the school’s commercial enterprise.

•Actively assist in the upkeep and development of the school’s commercial social media streams e.g. LinkedIn, Facebook and Instagram

•Provide additional administrative and operational support to the Bursary team as and when required.
