Hours of work: 09:30am until 16:00 Monday – Thursday (with 30 minutes break each day). There is some flexibility around hours.
Overall purpose of the post:
To provide comprehensive administrative and project support to the Operations Executive and wider team, ensuring the efficient coordination and delivery of operational and project-based activities.
Key Responsibilities
Project & Administrative Support
Act as a Project Administrator, supporting the planning, coordination, and delivery of projects.
Assist in liaising with internal teams, contractors, and external stakeholders to ensure projects progress in line with timelines and objectives.
Maintain accurate project documentation, records, and trackers.
Support meetings, including scheduling, preparing documentation, and taking minutes where required.
Operational & Office Support
Provide administrative support to the Operations Executive, including diary management and correspondence handling.
Respond to queries (in person, by phone, and via email), ensuring timely and appropriate resolution or escalation.
Manage incoming and outgoing post and day-to-day communications.
Maintain accurate records and undertake data entry tasks as required.
Team Support & Cover
Work collaboratively with colleagues to share workload across administrative and operations functions.
Provide cover for team members during periods of absence where required.
General Office Duties
Ensure office and shared working spaces are kept organised, presentable, and well maintained.
Always provide a high standard of service to colleagues and visitors.
Maintain strict confidentiality in line with data protection requirements.
