The Role
The Visa Coordinator is an integral part of the Admissions team, reporting to the Director of Admissions, who oversees departmental strategy and leadership. This role is crucial in maintaining the quality of relationships that begin with the Admissions experience.
Your key responsibilities will include:
- UKVI Authority Level 1 User: Acting as a primary user for UK Visas and Immigration (UKVI) systems.
- Sponsorship Compliance: Ensuring the school meets all obligations regarding its sponsorship status, including assisting with licence renewals and on-site audits.
- Legislative Adherence: Staying informed of all immigration and visa legislation and guidelines relevant to students.
- Database Management: Maintaining the school visa database for UKVI inspections, tracking expiring visas and passports, student withdrawals, visa refusals, and child student visa reporting, ensuring meticulous record-keeping.
- Immigration Status Verification: Checking the immigration status of all new students, including those with indefinite leave to remain or settlement status.
- Family Communication: Communicating with families regarding visa applications, providing guidance to ensure accurate and timely completion and submission of documentation.
- CAS Processing: Ensuring all student documents are correct before creating a Confirmation of Acceptance for Study (CAS) and processing CAS through the UKVI website.
- Guardian Due Diligence: Facilitating enhanced Disclosure and Barring Service (DBS) checks for Family Guardians where required, evidencing AEGIS membership, and ensuring guardians are aware of their responsibilities, including safeguarding.
- Legal Collaboration: Working closely with specialist visa lawyers to oversee the Child Student visa application process.
- Professional Development: Attending relevant training by the Boarding Schools Association and other sector bodies to ensure adherence to best practice and current regulations.
- Admissions Support: Supporting the Director of Admissions and Registrars with school visit bookings and assisting with general Admissions administration to ensure efficient office operation.

- Child Student Visa Experience: Experience of visa compliance and administration in relation to child students is desirable.
What We Offer
- Start Date: Flexible start date for the right candidate, with a preference for commencement at the beginning of the next academic year, September 1, 2025.
- Working Hours: This is a full-time role, 37.5 hours per week, plus such other hours as are reasonably necessary to meet the needs of the College and the demands of the role.
- Salary: £30,000 per annum, commensurate with qualifications and experience. Salary is paid monthly in arrears, in 12 equal payments.
